Information on the Processing of Personal Data in the Context of Competitions

This document describes how Volvo Cars (as defined below) processes your personal data when you participate in competitions organised or co-organised by Volvo Cars.

1. Who we are

The controller, i.e. the person responsible for the processing of your personal data, is the company Volvo Car Czech Republic s.r.o., with its registered office at Tomíčkova 2427/2, Chodov, 148 00 Praha 4,, registered in the Commercial Register maintained by the Municipal Court in Prague, file no. C 39848 (hereinafter referred to as “Volvo Cars”, “we”, or “us”.).

2. What personal data we process and why

We process the personal data you provide to us as part of your participation in a competition for the purposes of the competition and your participation in the competition, including informing you if you win a prize in the competition.

We process the following categories of data for the purposes above:

  1. name and surname, contact details, e-mail address, telephone number, and delivery address,
  2. information about your participation in a specific competition and, depending on the terms of the competition, also information about your competition entry or answers to the competition questions,
  3. if you win a prize, details of the prize you have won and how it was handed over.

We process this personal data to fulfil our contractual obligations to you under the terms of the specific competition.

The provision of the above personal data is voluntary and therefore not a legal obligation. However, in the case of your participation in a competition, providing your identification and contact details is necessary for your participation in such competition.

3. How long we keep your data

We will process your above personal data for the duration of the competition (this period is always based on the rules of the specific competition) and subsequently for the period during which you can claim the prize from the competition.

In cases where we are obliged to store specific categories of data according to the applicable legal regulations, in particular accounting and tax regulations, we will only process the data to which this obligation applies, i.e. only the data of the persons who have won a prize in the competition, for the period resulting from these regulations (usually 10 years from the end of the period in which the relevant tax document was issued).

4. Who we share your personal data with

We do not pass on or disclose your personal data to any third parties, except for eventual handover of personal data to public authorities where our obligation to pass on the data arises under applicable and effective law.

We use processors to provide certain support services (in particular IT services and external services for the organisation of competitions). This is always processing carried out for our company and according to our instructions. For all processors, we take care to select them in terms of credibility and quality of service, including the security of the personal data processed, and we also have a personal data processing contract with all processors that meets the requirements of the applicable legislation.

We may transfer some personal data for the purpose of providing advice to our accountants, tax or legal advisors.

We do not transfer your personal data to third countries outside the EU/EEA.

5. What rights you have in relation to the data processing we perform

You have the following rights under applicable data protection legislation in relation to your personal data that we process:

  • the right to access your personal data that we process, i.e. the right to request a copy of it,
  • the right to have your personal data rectified if it is incorrect, inaccurate or incomplete in any respect,
  • the right to request the erasure of your personal data or the restriction of its processing,
  • the right to object to the processing of your personal data,
  • the right to withdraw consent to the processing of your personal data at any time, without prejudice to the lawfulness of the processing based on the consent given before its withdrawal,
  • the right to the portability of the data that you have provided to us and that we process by automated means on the basis of the necessity of their processing for the purposes of the performance of a contract or on the basis of your consent. In the event that you wish to transfer this data to another controller, we will allow you to obtain your personal data in a structured, commonly used and machine-readable format or, if technically feasible, we will transfer it directly to another controller,
  • in addition to the above, you also have the right to file a complaint with the supervisory authority, which is the Office for Personal Data Protection, located at Pplk. Sochora 27, 170 00 Praha 7, www.uoou.cz; however, we would appreciate it if you first contact us and submit your complaint, using the contact information provided in the following section, so that we can try to resolve them together,
  • if we do not comply with your request, you also have the right to seek judicial protection.
